Who we are and how to contact us

This policy explains how Art Dose management handles information submitted through artdose.sa for exhibition applications and enquiries about our experiences and services. Address: Jeddah Marina, Jeddah Yacht Club, Al Shati Street, Al Shati District, Jeddah 23614, Saudi Arabia. For privacy enquiries and requests, email artdose.group@gmail.com or call +966 55 680 8038.

Information we collect

The exhibition application requires your name, mobile number, email address, social profile links, and either a PDF portfolio or a portfolio link. An exhibition idea or message is optional. We also record the time of consent and privacy notice version. We receive information in messages you send directly by email or WhatsApp. This form does not request payment details, national identity numbers or health information; please do not include them in your files or messages.

How we use your information

We use submissions to review your application and work, respond to you, and discuss arrangements for the exhibition or service you request. Exhibition application processing relies on your consent for this purpose, and is not a marketing subscription. Without required information, we may be unable to review or follow up on an application. Submitting a portfolio does not publish it on the website or automatically authorise public display; any later publication is discussed separately.

Storage, access and security

Applications are stored as private records in the website system, accessible to authorised administrators. New portfolio PDFs are stored privately in Google Drive. The website retains a file reference for verification and authorised retrieval, without a new permanent copy on the website server or in the public media library. Temporary processing is used during upload and retrieval. Older uploads remain in the previous encrypted storage. Administrator notifications contain the application number and a review link, without the portfolio attachment. We use hosting, email and technical providers to operate the website and communicate; they may process information to provide these services. No electronic system can be guaranteed completely secure.

Retention and deletion

We retain application information and correspondence while needed for review, follow-up and related service arrangements, or a legal requirement. You may ask us to delete information no longer needed by emailing us. Retention needs are reviewed when an application closes. On erasure, its records and files are removed from the operational system; backup copies may remain until replaced within the backup cycle. Erasing a file stored in Google Drive also requires removing it there; deleting an application record alone does not delete its Drive file. An application is not automatically deleted immediately after submission or after a short period.

Technical information and cookies

Hosting services may record technical details such as IP address, browser type and request time for operation and security. The application form uses an identifier derived from the IP address to limit automated submissions, with a one-hour expiry. Your separate analytics and advertising choices are stored in your browser for up to 180 days. You can change it through “Privacy settings” in the footer.

We load the advertising Snap Pixel only after you choose to allow it. If allowed, Snap may receive visit, device and cookie information to measure engagement and advertising. Rejecting it does not prevent you from using the exhibition form. Changing to rejection stops the tool loading on subsequent visits and does not undo information already sent. You can also manage cookies in your browser settings.

We load Google Analytics only after you allow visit and enquiry analytics. It measures page visits, content language, WhatsApp link clicks and confirmed exhibition application submissions. Our events do not send your name, phone number, email, portfolio, application text or WhatsApp message. Google may process technical information and cookie identifiers under its privacy policy. Analytics consent is separate from Snap advertising consent. You may reject either or change your choices in Privacy settings. A WhatsApp click does not confirm a sent message or booking.

After an application is saved, the website uses a random confirmation token lasting up to 10 minutes. It is consumed once to avoid counting page reloads as new applications. It contains no application details and is not sent to Google. The success event is sent only if you allow analytics.

Embedded videos and external links

We embed Vimeo and TikTok videos, including automatically playing videos. Connections to these providers may start when the page loads. They may receive IP address and device information and use cookies under their own policies, independently of your analytics and advertising choices. Opening WhatsApp, Instagram, TikTok or Google Maps links takes you to services governed by their own policies. Service providers may process or store information outside Saudi Arabia; displaying content here does not mean all related servers are located in Saudi Arabia.

Your rights and requests

Subject to applicable law and exceptions, you may request access to your information, a readable copy, correction or updating, deletion of information no longer needed, or withdrawal of consent. Withdrawal may prevent us from continuing an application that relies on it, and does not affect the lawfulness of earlier processing. Email us with the contact details used in your application. We may request proportionate identity verification without collecting unnecessary information. Requests and complaints are handled within applicable statutory deadlines. You may also complain to the competent authority through SDAIA’s National Data Governance Platform.

Children and policy updates

Exhibition applications and enquiries concerning children should be submitted by a guardian or authorised representative. Please do not submit unnecessary children’s information. We may update this policy when our services or processing change; the latest revision date appears above.
